Secretary Duties
Description
- In charge of all group documentation, taking of minutes, distribution of minutes to all club members, and updating and checking of messages on the club hotline.
Responsibilities and Duties
- Maintain hard copy of the minutes and task lists
- Maintain soft copies and backups of Minutes, task lists, and audio recordings.
Weekly
- Emailing the minutes and task lists on the listserv.
- Record hotline message with current weekly lessons. This needs to be done by noon on Sunday.
- Checking messages on the club phone.
- Responding to email on the oregonballroom@gmail.com account.
- Check mail box in EMU
- Obtain master list of members from Membership Officer and update member information to the Google Group and listserv.
Weekly Meetings
- Record what is said, motions passed, and officer and member tasks for the week.
- Update Excel sheet with new tasks for the week.
- Run the Voice Recorder.
- Bring relevant mail to weekly meetings.
Monthly
- Report of the minutes
- Provide a copy hard and/or soft for the president the reports:
- Minutes
- Task Lists
- Meeting Attendance
Each Term
- Report on the attendance for the term. This needs to be given at the next meeting of the next term.
Yearly
- Flush out listserv and Google Group member information to ensure inactive members do not continue to receive OBDC information.
