payroll: MOBILE TECHNOLOGY POLICY IMPLEMENTATION

SUBJECT:      MOBILE TECHNOLOGY POLICY IMPLEMENTATION

On November 8, 2010, University of Oregon leadership formally adopted two policies pertaining to UO faculty and staff access to and payment options for mobile technology (e.g., cell phones, smart phones, etc.). These policies apply to classified and unclassified employees who use mobile technology for university business. The Access to Mobile Technology policy establishes criteria in determining access to mobile technology and the university approval process. The Office of Human Resources is the responsible office. The Payment Options for Mobile Technology provides information on the two payment options for mobile technology access: unit-purchased device or employee allowance for employees who use their personal devices for university business. The Business Affairs Office is the responsible office. This policy establishes the maximum amounts for the payment tiers, which will be reviewed and updated annually. Because the allowance is paid by stipend, payroll request forms (PRFs) will be needed to generate the payment to employees. The following information is available on both the Human Resources [http://hr.uoregon.edu/policy/MobileTechnologyDevice.html] and Business Affairs [http://bg.uoregon.edu/content/mobile-technology] websites to guide you through this process: • The “Mobile Technology Access and Payment Option Request” form to document the request for mobile device access, the payment option and allowance tier (if applicable), and departmental approval for mobile technology; • The “Agreement for Mobile Technology Access and Allowance” for employee review before signing the request form; • The Access to Mobile Technology and Payment Options for Mobile Technology policies; • Banner Guide instructions on processing PRFs for the stipend/allowance.
