Goal 4: Work Environment and Systems
- As an internationally recognized institute, the AEI requires modern facilities that support and stimulate learning. In order to meet the basic guidelines by the CEA and University Enrollment Management growth goals, the AEI requires facilities that are conducive to a modern language-learning environment.
- The AEI works creatively to provide quality space including classrooms, appropriate meeting, testing, and office space, with the eventual goal of a central hub to better facilitate faculty collaboration.
Key strategies
- 4.1 Student Spaces: Create an environment that engages and promotes studying, learning, and academic success.
- 4.1.1 Commission a thorough space needs analysis for classrooms and collaborative learning space across the AEI
- 4.1.2 Collaborate further with the university to best utilize existing university learning environments (such as YLC, Housing, Interactive Media Services)
- 4.1.3 Secure sufficient testing space to meet the needs outlined by the UO English Language Proficiency group (when proposal is in effect) that all incoming international students take an English placement test.
- 4.2 Faculty- Create an environment that is conducive to professional activities including research and teaching, meetings, student conference, and individual consultation
- 4.2.1 Commission a professional space needs analysis planner to develop a plan with university partners around existing office and collaboration spaces on campus.
- 4.2.2. Advocate within university system, for AEI staff and faculty space, dedicated centralized spaces
- 4.3 Leverage Technology
- Consistent with university efforts, explore how AEI will leverage technology to compensate for ongoing and future space challenges.
- 4.3.1 Explore opportunities for telecommuting for faculty and staff.
- 4.3.3 Pilot a live chat support for student writing questions.
- 4.3.4 Pilot online office hours to meet student support requirements.
- 4.4 University Integration
- To more smoothly schedule classrooms and reduce related inefficiencies, the AEI will work with CAS and Enrollment Management to integrate non-matriculated programs into Banner.
- 4.4.1 Re-examine the IEP schedule blocks (18 hour course distribution) to align with the UO schedule protocols
- 4.4.2 Redefine AEI internal processes to correspond with Banner implementation
- 4.4.3 Update Banner training for AEI staff
- 4.4.4 Analyze current processes to prepare for Banner integration of all non-credit AEI courses.

- Measures of Success
- 4.1/4.2
- In Fall of 2013, the AEI will implement a comprehensive evaluation of the space needs for students, faculty and staff.
- In Spring 2014, the AEI will obtain services for a professional needs analysis on faculty and staff space requirements.
- By Spring of 2014, a list of identified locations for student and testing spaces will be organized, and a proposal submitted for procurement
- The AEI will have 7 new classrooms available, with updated tech by Spring 2015.
- Establish a relationship with CAS Capitol Campaign in Fall of 2013 for the purpose of new space.
- Develop workable facilities plan by Fall 2015.
- The AEI will locate in a centralized staff/faculty "work center" by Fall 2016.
- 4.3
- In Spring of 2014, a focus group will target possible tech updates and options
- By Fall 2015, the AEI will identify the key staff and resources needed to pilot a live chat support system for students.
- By Spring 2016, a faculty test group will conduct online office hours.
- 4.4
- In Fall 2013, the AEI will propose updated course schedule to fit the Banner integration.
- By Winter 2014, the AEI will host staff training in using the Banner system.
- By Winter 2014, the AEI will have CRNs for all course registration and class scheduling.
- By Winter 2015, the AEI will assess the successful incorporation of courses into the Banner system.
