Hello All. I received the following email late Friday from our rep at Enterprise/National Car Rental about some issues with direct billing. Please be aware of these issues and make sure that your travelers who are traveling for business to the BCS bowl game, have the correct information that is needed for direct billing for car rentals. Remember, travel policy says you have to have a business purpose for car rentals and these contracts cannot be used for personal use. Carolyn Wooley University of Oregon Travel Manager 541-346-3158 phone ********************************************************************************************************* I wanted to alert you of some challenges we are having with regard to car rental bookings for the BCS championship game. My counterparts down in Arizona are receiving a high volume of phone calls from people that state they are “ flying into Arizona and need rental cars delivered to their hotel and have the bill sent to the University of Oregon” Unfortunately, none of the callers seem to know their secure billing numbers. For the security of both the State of Oregon Price Agreement, as well as the security of each department with nationwide direct billing, these account numbers are hidden and cannot be looked up by our rental agents. These reservations are all being made under the University’s non billing account number to ensure that everyone requesting a vehicle will get one while there is still availability. However, only those reservations made with department specific direct billing number can be billed out. If the reservation was not made using the direct billing number, the renters will need to provide a credit card. In addition, before everyone got sticker shock, I wanted to make sure everyone is aware that Enterprise Rent-A-Car offers “free pick-up” service from most of our downtown locations and that this service is subject to geographical limitations. Delivery is not free. The rental branch may determine their own charge for delivery…if they even choose to do a delivery. My fear is that I will get a number of calls from folks with concerns about delivery charges. Our team of folks in Arizona is committed to helping everyone out that they possibly can…we just want to make this the smoothest possible experience we can for both the renters and the accounts payable folks that have to reconcile the bills long after that BCS championship trophy has been brought back to Eugene.
