payroll: Expenses Related to H1N1 Emergency Response

Re:      Expenses Related to H1N1 Emergency Response

The UO Emergency Management Program continues to monitor and plan for the expanding H1N1 (Swine) Flu pandemic. These efforts intensified with the start of fall term and the corresponding increase in campus population.

To best record and summarize costs associated with the emergency response efforts, please continue to use the BANNER Activity Code that was created last spring: IPH1N1 - Incident Action Plan H1N1.

For any "hard" costs (e.g. Purchase of Services or Supplies) expended by departments related to H1N1 response, the BANNER invoice record should be marked with the IPH1N1 Activity Code. If the invoice has already been processed, departments should reallocate the expense by processing a journal voucher. If you need assistance processing an invoice or journal voucher, please contact BAO Financial Services.

All UO employees who are part of the UO's Incident Command System (ICS) structure and have spent or continue to spend time on the emergency response process are being asked to track their hours in the Basecamp system. The Emergency Management office will extract a monthly report of each employee's hours and send to the employee for signature. The form will then be forwarded to his/her department payroll coordinator. After the monthly payroll process has completed, the payroll coordinator should process a payroll redistribution (PHAREDS) to mark emergency management efforts with the appropriate Activity Code.
