travelnews: Foreign Liability Insurance

The following information should have been sent as an attachment this morning but was inadvertently left off.  Please read carefully and send the information required to Sheree Johnson at shereej@uoregon.edu.

TRAVELING OUT OF THE COUNTRY ON STATE BUSINESS
FOREIGN LIABILITY COVERAGE
AIG CARDS

This AIG coverage is for LIABILITY coverage. You will need to check with your personal medical carrier on medical coverage while traveling out of the country. Please see note at end of this document about medical MEDEX coverage.

DESCRIPTION OF COVERAGE: Comprehensive general liability, contingent auto liability, fire legal, employer’s liability, and personal liability for employees performing state business. This coverage assists the state employee with legal representation, provide case management, English-speaking physician, hospital admittance, and coordinate medical evacuation and prepare individuals for travel.

AIG has the resources and experience to deal with the situation and provide efficient and quality assistance. Our annual coverage renewal is April of each year. Please contact BAO Risk Management if employees need further information. AIG cards are available in the Business Affairs Office (BAO) for employee’s traveling out of the country on State business. These cards provide a policy number, company name, and phone numbers. As there is no expiration date typed on the card, employees will need to request a new card after the April renewal date each year.

This coverage is for employees performing state business only. If the University of Oregon is paying you to perform research FOR THE UNIVERSITY, you are covered. You must be under the direction and control of the university.

If an employee is doing research which benefits them personally, or which they have rights to, they would not be covered.  If you are doing research for your benefit, you are not covered. If you are conducting research for a personal publication (which benefits you), not for the university, you would not be covered as our insurance carrier considers this a personal research project.

Do not report if you are vacationing, this liability coverage does not apply while on personal time.

The University of Oregon obtains liability coverage by reporting the countries on an annual November report to the Department of Administrative Services Risk Management Division.  All potential "out of the country" State business employees must report to BAO Risk Management by March 12th of each year. The report must include estimates for the country traveling to, number of trips, and the employee name, and purpose of trip. (If employee did not have prior knowledge of the future travels before the March reporting, please contact BAO Risk Management to verify coverage).

Please EMAIL estimates by March 12th to BAO Risk Management, Shereej@uoregon.edu, with the following:
REPORT estimated UO business travels from April 1 2009-March 31, 2010.
EMPLOYEES MUST REPORT THE COUNTRY THEY ARE TRAVELING TO BEFORE TRAVEL COMMENCES
It is the responsibility of the traveling employee to report their travel, not their department. In order to be covered you must submit the following:
DEPARTMENT:
EMPLOYEE NAME:
DATE(S) OF TRAVEL:
NAME OF COUNTRY (not city name):
A “very detailed” explanation of why the UO is requesting you to travel.
Do you need an AIG card:  Yes or No

IMPORTANT NOTE: This is only available to employees enrolled in the PEBB benefit program!!!

For questions on this medical MEDEX coverage, please contact:

Cindi Peterson

They provide a wide range of emergency assistance while a person is traveling. It is not a liability policy.
