payroll: New Furlough Crib Sheet




We have created a "crib sheet" for your use when processing furlough leave. The link may be found on the Banner Guide at http://bg.uoregon.edu/hris/class/furlough.htm#CribSheet A few departments are having difficulty in processing some of the categories of furlough leave accurately. For the most part, however, the work is excellent.

We recognize that the process isn't easy, intuitive, or straight forward. Since today is the first day of time entry, please take a quick look at the new crib sheet to make certain you are processing the various categories of furlough leave correctly.

Please note:

Classified Hourly /with Default Option: Add actual hours worked plus the hours of leave taken when processing REG hours. If this step is not done, the employee will be underpaid.

Classified Hourly /with Opt-Out Option: The same process as above in PHAHOUR, HOWEVER..the Payroll Office is adding in the furlough hours taken to the actual hours worked, rather than asking the departments to do this. Our office is manually going into PHAHOUR and making the changes to REG pay hours after the time entry window closes. You will note our efforts on the Hours Entered Report.

Very, very, Important:

Please contact Shelby Cooper, if you have not already done so, concerning employees in your department who have switched from default to the opt-out option. We originally thought that this would be a simple process, but it is not. The Payroll Office needs to make an adjustment to LW7 because of the change in option.

Please send email to Shelby Cooper detailing whether or not your employee has or has not taken furlough leave to match the amount of leave that was reduced during the month or months that the employee was on the default option. We will spare you the detail or explanation of why this is important. Shelby's email is shelbyc@uoregon.edu, and she will respond by email of the action she is taking.

Thank you for all of your efforts in processing correctly the payroll each month. As stated, we are finding some errors, and this memo is an attempt to reach those who are still having difficulty.
