Attaching Metadata

In order to check the work of new Scanning Technicians and backtrack any mistakes, we regularly attach metadata to the headers of TIF files. This information is minimal and remains with the derivative JPEG files in our image archive. It does not translate into the images added to the Art & Architecture Images collection available to the public. Leave time at the end of your shift to attach metadata to all the images you’ve scanned. It is the responsibility of the Scanning Technician to make sure all metadata is present before the JPG files are derived from the TIFs, even if scanning the full order is not completed in one sitting.

A.   Open Adobe Bridge

1.      From within Photoshop go to File > Browse

2.      If the above method crashes Photoshop or Bridge, close both programs and click on the Bridge icon on the dock (Mac) or desktop (PC)

B.   Use the Browsing window to find the “Temporary folder for tifs” folder on the hard drive

C.   In the main window, click on a thumbnail image to select it. Information will now appear in the lower right Metadata and Keywords window.

1.      Make sure all TIFs are closed in Photoshop or you will not be able to edit the metadata!

D.   Scroll down to the IPTC Core section of the Metadata and Keywords window

E.   In the Job Identifier field, enter the order number from the Order Tracking Sheet, a hyphen and your initials, i.e. 1314-JCS

F.    In the Source field one of five things can be entered:

1.      If the source of the scan was a VRC slide, enter the call number of the slide with the prefix “VRC”, i.e. VRC 759 Sp 14c N22

2.      If the source was a personal slide, enter “PS” plus the name of the slide owner, i.e. PS Hurtt

3.      If the source was an uncataloged VRC gift slide, enter “VRC” plus the name of the gift collection, i.e VRC Marion Dean Ross

4.      If the source was a book from the UO libraries, enter the library and call number, i.e. AAA NA475.W34S91 1999

5.      If the source was a personal book or other printed material, enter “PC” plus the name of the book owner, i.e. PC Dolezal

G.   Click the checkmark at the bottom of the Metadata window to apply your changes, or move to the next image and changes will be saved automatically
