Using the English Xerox WorkCentre 5855
Introduction
The English Department has a new Xerox WorkCentre 5855 printer copier in PLC
228. For the technically curious, more information about the printer/copier
may be found here:

To print to the new printer follow these general steps:
- Make sure
you have
a printing code from the Department. You can get your code from Lisa
Clawson.

Identify your operating system.
- Install the printer drivers for the
printer.
- Configure your computer to use your printing code with the Xerox WorkCenter
5855.
** Identify your OS.
Windows Users:
- Go to the START MENU. A menu should appear.
- Right-click on COMPUTER. A menu should appear.
- Choose PROPERTIES from the menu. A new window should appear.
- At the top of the window, there should be a listing of which EDITION of
Windows is in use (i.e. Window 7).
- Near the middle of the window should be a listing of the SYSTEM TYPE; it
should be either 64 or 32-bit.
- Make a note of what version is running.
Macintosh Users:
- From the finder, select the APPLE menu. A menu should appear.
- Choose ABOUT THIS MACINTOSH. A window should appear.
- A the top of the window, there will be the words "OS X", underneath
this will be the Version (ie. 10.7.5) Make a note of the version.
** Download the Appropriate Driver
A EULA will be displayed. Carefully read the EULA (which basically says, "You
can't sue us if this printer driver destroys you, your machine, or your
precious work. Don't steal our programming. Oh, hey; we put some 'utilities'
into the printing software to help us with off-site diagnosis that might, you
know, kind of track what you're doing.") Press the ACCEPT button to begin the
download (an .EXE file for Windows users, a DMG file for Macintosh users).
** Install the Driver
Windows users
- Once the download has completed, double-click on the file icon to start the
downloaded executable file.
- Windows will probably warn you that it's an exacutable file downloaded from the internet.
Allow the executable to run.
- The EULA will be displayed again. Click OK (again) to accept
it.
- A series of windows will ask where you want things. Follow the default
prompts for a standard installation.
- Eventually a dialog box will appear asking you what kind of printer you'd like
to install. Select ADD A NETWORK PRINTER.
- A list of available printers will appear. Most likely Xerox will not be in the
list; Select THE PRINTER I WANT ISN'T LISTED.
- A new window should appear. Select ADD A PRINTER USING A TCP/IP ADDRESS OR
HOSTNAME.
- A new window should appear. Type 128.223.108.22 into the blank for HOSTNAME OR
IP ADDRESS. (N.B. you may notice that the port name will show up as
128.223.108.22_1 if you've previously installed a printer driver for the
printer in PLC 228).
- Make sure the "Query the printer" box is checked and press NEXT
- There will be a pause as Windows talks with the printer. A new dialog box
will appear. Under "Manufacturer" choose XEROX, then click on HAVE DISK.
- A new dialog box will appear. Choose the default location for the driver
C:\Xerox\WC58XX_5.295.13.0_PS_x64_Driver.inf
- A new dialog box will appear. Select XEROX WorkCenter 5855 PS and press
NEXT.
- A new dialog box will appear asking you to name the printer. A helpful
name would be "PLC 228 English Xerox".
- A final dialog box will appear asking to set the printer as the default
printer (probably not what you want) and giving you the option to print a test
page (this will certainly fail until you configure the printer driver with your
user ID). Press FINISH.
- You're done with the installation, go to the approprate CONFIGUR
AND PRINT section, below.
Macintosh Users
- Double-click on the DMG to open it. A window should appear with an open
box icon called Xerox Print Driver
- Double-click on the Print Driver icon to start it.
- A dialog box may appear saying that the installer will check its
compatability with the Macintosh. Click CONTINUE.
- A "Welcome" dialog box will appear. Click CONTINUE. And agree to the
EULA (again!)
- The dialog box will inform you where it's going to install the printer
driver. Click INSTALL.
- The Mac OS will display a dialog box reading "The installer is trying to
install new software..." and will want an administrator's username and password
to continue. Enter these and press INSTALL SOFTWARE. Installation progress
theatre should commence.
- The installer will discover various printers. Select ADVANCED SEARCH.
- Select the IP Address option, enter 128.223.108.22 into the blank, and
press SEARCH.
- There will be a short delay. Select Xerox WorkCenter 5855
englprintergtfs.local, and press CONTINUE.
- De-select "Set Printer as Default" (assuming you want that option) and
"Print Test Page" and press CONTINUE
- A final dialog box should appear saying that the installation was
successful. Press CLOSE.
- You're done with the installation, go to the approprate CONFIGUR
AND PRINT section, below.
**Configure and Print to the Xerox
WorkCentre 5855
Windows Users

Press Control-P to start a print job.

The print dialog box should appear; select Xerox (PLC 228).

Press the PRINT button.
-
And accounting dialog box should appear. Type in your super secret
code into the USER ID (only!) box.

Press OK. Your print job should appear in the output tray.
Macintosh Users
LAB SET-UP

Log onto the Mac with an admin account.

Bring up the terminal window.

At the prompt, type sudo cupsctl WebInterface=yes

Open a browser and go to http://localhost:631/admin

Under the PRINTERS section choose "Manage Printers" a list of printer queues
will appear.

Select the Xerox printer; a new config window will appear.

Under the ADMINISTRATION pop-up window, choose "Set Default Options"; a new
config window will appear

Click the ADVANCED menu option; more options will appear underneath.

Make ACCOUNTING SYSTEM = "Xerox Standard Accounting"

Make ACCOUNTING PROMPT="Always Prompt"

Click SET DEFAULT OPTIONS
Single User Set-up
-
Press clover-P to start a print job.

Select XEROX (PLC 228) as the Printer

If this is the first time printing to the Xerox from the Macintosh, continue to
the next step. If you have used this Macintosh to print to the Xerox
before, skip to step 14.

Underneath the Orientation settings there will be a option menu (it might
read the name of the application you're printing from or the word
"Layout", Choose XEROX FEATURES

Once Xerox Features are selected, a new menu should appear. Switch from
"Paper Output" to ADVANCED. A new sub-menu should appear.

Near the bottom will be a "Configuration" setting, click on ACCOUNTING. A
dialog box will appear.

Change "Accounting System" to XEROX STANDARD ACCOUNTING. (N.B. the
Mac might have to think about this for a moment.)

Change "Accounting Prompt" to ALWAYS PROMPT.

Optional (on personal machines, the Default User ID can be the super
secret printer code)

Click OK

The original print dialog will appear. Under "Presets" select SAVE
CURRENT SETTINGS. A new dialog will appear.

For the Preset Name choose "PLC 228 Xerox".
- Press OK
- You are now ready to print. The Macintosh should remember the settings
from this point out.
Press PRINT
- An Accounting dialog box will appear. In the User ID (only!) put in your
super secret accounting code.
- Press OK. Your print job should appear in the output tray.
Additional Information
The new Xerox printer does not use PaperCut (yay!); it has an internal
accounting system. This means that when you print to the Xerox, your PaperCut
balance will not be affected, but your Xerox balance will.
If you send a print job to the Xerox and it doesn't like your ID code, it will
appear to print your job. What it is really printing is an error page saying
how it doesn't like your code and that you should check in with your printer
administrator for the proper code.
The Xerox tosses around the terms User ID, Account ID, password, and "Friendly
Name" in a haphazard way. Most of the time, entering in the super secret code
assigned by
Lisa should be sufficient for printing and copying.
I've seen one instance on the Macintoshes where the OS complains that the
printer driver has become corrupted. The only fix for this is to supply
administrative credentials and let the OS automatically rebuild the driver.
