Vcat Best
Practices
Vcat uses 22 layouts to divide metadata up into logical groups for
cataloging (the layouts are a simplification of Tables, but Catalogers need
only worry about the layouts.) These layouts fall into three groups: Administrative,
Work and Image, and Authorities. Administrative layouts describe where the
image came from. Authority layouts provide controlled vocabularies for
cataloging. The Work and Image layouts combine Administrative metadata and
Authorities plus a few other fields to describe the Work and Image being
cataloged. The following pages indicate how metadata should be entered in each
of the fields associated with a particular layout. They are presented in the
order they appear in Vcat, which is roughly the order in which you will use
them as you catalog.

in the Record box on the sidebar
Searching
in Filemaker:
·
Click the magnifying glass at the top of the sidebar
and type into the field you wish to search OR
·
Choose Search from the pull-down menu at the bottom
of the window and type into the field you wish to search
·
Multiple fields may be searched at one time
·
Enter “=” into a field to pull up all records with
that field empty
·
Enter “>” into a field to pull up all records
with some data in that field
General
rules for data entry:
Use
diacritics
No quotation
marks—use apostrophes
No
unnecessary abbreviations
Use “ca.”
with subsequent space and date for circa
Green-tinted
fields may NOT be modified
Always
initial records you create!
